This page helps to break down all of the terminology used throughout the DoInbound platform! 

General:

Agency – The company that purchases DoInbound to manage their processes and projects for servicing their clients. There can only be one agency for each license of DoInbound.

Client – A customer of the Agency that is managed inside DoInbound.

All Clients:

Create a New Client – Clicking on the “+” allows Agency Admins to add new clients to the platform. Once added, clients will appear on the All Clients page and in the “Select Client” dropdown on the left side menu.

Client Logo – Clicking the default logo under the client name allows a user to upload a custom client logo. This logo will be used across the platform the tie the client to Campaigns, Deliverables, and Tasks.

Editing a Client – Clicking the green edit icon allows a user to change the client name.

Deleting a Client – Deleting a Client also deletes all GamePlans, Personas, Campaigns, Deliverables, and Tasks tied to the Client.

Agency Overview:

Agency Team – A list of all users that have been added to DoInbound.

Late Deliverables – The Deliverable is past the Deliverable Publish Date and there are still Tasks that need to be completed.

High-Risk Deliverables – There is at least one task within the Deliverable that is late.

On-Schedule Deliverables – All tasks in the Deliverable are on schedule to be completed by their due date or are already completed.

Completed Deliverables – All tasks inside the Deliverable have been completed.

Deliverable Overview Report:

  • Deliverable Title – An editable title for your Deliverable that tells the team what is being created.
  • Deliverable Description – An optional and editable description to share more details about the nature of the Deliverable.
  • Deliverable Publish Date – The date that the Deliverable will be released or published
  • % Deliverable Completed – The percentage of tasks within the Deliverable that have been marked complete.
  • % Tasks on Schedule – The percentage of the total number of tasks that are on schedule to be completed by their assigned due date.
  • % Late Tasks – The number of late tasks divided by the total number of tasks in the Deliverable.

Agency Activities – A list of all activities that have been completed by users across all agency clients

  • Listed Activity includes: Completed, Deleted, Created, Activated, Updated, Archived, Comments, Time Logs, and Uploads by every user, for every client.

Client Overview:

Late Deliverables – The Deliverable is past the Deliverable Publish Date and there are still Tasks that need to be completed for the selected client.

High-Risk Deliverables – There is at least one task within the Deliverable that is late for the selected client.

On-Schedule Deliverables – All tasks in the Deliverable are on schedule to be completed by their due date or are already completed for the selected client.

Completed Deliverables – All tasks inside the Deliverable have been completed for the selected client.

Client Activities – A list of all activities that have been completed by users on the selected client.

  • Listed Activity includes: Completed, Deleted, Created, Activated, Updated, Archived, Comments, Time Logs, and Uploads by every user for the selected client.

Campaign Tab:

Campaign – A collection of Deliverables deployed across a fixed length of time with a goal of achieving a goal.

Deliverable – A tactical element or milestone that will help accomplish the goal of the Campaign.

Task – An element of a Deliverable that can be completed by one person by following a set of Task Steps.

Task Step – The step-by-step process for completing a task.

Step Details – Additional details beyond the text of a Task Step that can help a user understand the process for completing a step.

Comment – A comment can be left at the bottom of any task in the platform.

@Mention – When leaving a comment, a user can type the @ symbol and see a full list of all users that have access to that client. By clicking on a user in the list, they’ll receive a notification letting them know they’ve been mentioned in a comment.

Draft Campaign – When a campaign is first deployed from a template, it resides in Draft status. This allows the project manager the time to make necessary edits to the campaign. When a campaign is in Draft, no tasks can be completed.

Active Campaign – When a Campaign is customized and ready to start work, it can be changed to Active status. This allows work to be done on tasks and sends a notification to all users with tasks assigned within the Campaign.

Completed Campaign – When all Deliverables are completed, the Campaign is marked Complete.

Archived Campaign – When a Campaign is no longer relevant, it can be Archived. Archived Campaigns can be brought back to Draft status in the future.

Campaign Overview Report:

  • Campaign Title – an editable title for the Campaign. The title can relate to the goal of the campaign.
  • Campaign Description – an optional and editable description to provide more details about the goal and scope of the Campaign.
  • Campaign Start and End Dates – (NEEDS TO BE) the dates that the campaign starts and ends. Start date is set when adding a new Campaign and the end date is calculated by the Campaign Template length. Adjusting the start date or end date of a Campaign prompts an option to automatically adjust the Deliverable and Task due dates accordingly.
  • % Campaign Completed – the percentage of the Deliverables within the Campaign that are complete.
  • Deliverables on Schedule – the percentage of Deliverables within the Campaign that are on track to be completed on schedule.
  • Deliverables in Progress – the percentage of Deliverables within the Campaign where one or more tasks have been started by clicking off one or more steps.
  • Late Tasks – the percentage of all tasks assigned within the Campaign that are currently late.
  • Campaign Team – (NEEDS TO BE) the users who have have been assigned Tasks within the Campaign.
  • Campaign Activity Feed – A list of all activities that have been completed by users within the Campaign.Listed Activity includes: Completed, Deleted, Created, Activated, Updated, Archived, Comments, Time Logs, and Uploads by every user within the selected Campaign.

Delete a Campaign – Deleting a Campaign deletes all Deliverables and Tasks within that Campaign. Tasks within a deleted Campaign are removed from a User’s Task list. Time logs from a deleted Campaign are also deleted. If you’d like to save your data for future use, we recommend archiving Campaigns rather than deleting them.

Deliverable Overview Report:

  • Deliverable Publish Date – The date that the Deliverable will be released or published.
  • % Deliverable Completed – The percentage of tasks within the Deliverable that have been marked complete.
  • % Tasks on Schedule – The percentage of the total number of tasks that are on schedule to be completed by their assigned due date.
  • % Late Tasks – The number of late tasks divided by the total number of tasks in the Deliverable.
  • Deliverable Activity Feed – A list of all activities that have been completed by users across all agency clientsListed Activity includes: Completed, Deleted, Created, Updated, Comments, Time Logs, and Uploads by every user within the selected Deliverable.

Clone a Deliverable – Cloning a Deliverable creates a copy of the Deliverable within the same Campaign.

  • Elements that are included in a clone: Deliverable Title (clone), Deliverable Description, Deliverable Publish Date, Tasks, Task Owners, Budgeted Time, Task Descriptions, Task Due Dates, Task Steps, and Task Step Details

Delete a Deliverable – Deleting a Deliverable also deletes all tasks included inside the Deliverable.

Change Deliverable Publish Date – Editing the Publish Date for a Deliverable gives the user the option to also move the due date for each task within the Deliverable by the same number of days.

Individual User Profile:

User Overview – Viewable by Agency Admins, this screen provides an overview of a user’s performance, activity, and tasks that have been assigned to them.

  • Next X Days – An editable report showing the number of tasks assigned and the budgeted # of hours for the user within the selected number of days. Editing the number of days will update the report.
  • Performance Overview – a report showing the overall performance of the user.Actual vs. Budgeted – The percentage of time logged weighed against the amount of time budgeted for the task. 100% indicates that actual time logged equates to time budgeted.Tasks On Schedule – The percentage of total tasks assigned that are completed by the due date.Late Tasks – The percentage of total tasks assigned that are past the due date.

My Tasks – Viewable by any user in the platform. When viewing your own User Overview, My Tasks and User Overview screens are one in the same.

  • Next X Days – An editable report showing the number of tasks assigned and the budgeted # of hours for the user within the selected number of days. Editing the number of days will update the report.
  • Performance Overview – a report showing the overall performance of the user.  Actual vs. Budgeted – The percentage of time logged weighed against the amount of time budgeted for the task. 100% indicates that actual time logged equates to time budgeted.Tasks On Schedule – The percentage of total tasks assigned that are completed by the due date.Late Tasks – The percentage of total tasks assigned that are past the due date.

Manage Users Screen:

Agency Admin – A global user who has the power to view and edit any element within the platform.

Agency User – A user with access to select clients. Access is dictated by an Agency Admin after the user has accepted their invitation to the platform.

User Profile:

Edit Profile – the area where the team can edit their name, email, and profile image.

Email Notifications – The user can control what notifications they receive via email.

  • Email me a daily summary of my tasks – by selecting this option, users will receive an email at midnight local time with a full list of tasks that are assigned to them. It there are no tasks on their plate, no email will be sent.
  • Email me when I receive a @mention in a comment – by selecting this option, the user will receive an email when they’ve been @mentioned in a comment. The email includes a link to the Task where the comment was left.
  • Email me a notification when someone completes a task in a deliverable that I’m assigned to, or in a client I’m subscribed to. – by selecting this option, the user will receive email notifications when teammates complete tasks in a Deliverable where they also own a task. This allows users to stay up to speed on the progress of the Deliverable.

Subscribe to Clients – By subscribing to a client, a user will receive email notifications when a Task is completed, a Comment is left, a Deliverable is completed, and a Campaign is completed.

Timezone – a user can select their timezone. All timestamps on Activity Feeds will be reflective of this timezone and emails sent will send according to the selected timezone.

Billing:

Update Your Credit Card – An agency admin can update credit card details.

Time Reports:

Total Time Logged – The total time logged by all users within the date range selected.

Total Time Estimated – The total of budgeted time for all tasks due within the date range selected.

Estimated vs. Actual – The percentage of time logged weighed against the amount of time budgeted for the tasks. 100% indicates that actual time logged equates to time budgeted.

On-Time Delivery – Tasks that are completed on or prior to their due dates within the date range selected.

Manage Templates:

Campaign Template – A collection of Deliverables united by a common purpose and set to published within a set period of time.

Deliverable Template – An element of a strategy or project that will be considered delivered or complete upon the completion of a set of tasks.

Task Template – An element of a Deliverable that can be competed by one owner.

  • Default Owner – the user that will be automatically assigned the task when the template is implemented in a client campaign.
  • Budgeted Time – the amount of time that has been allocated for the completion of the task.
  • # Days Before / After Deliverable Template Publish – using the publish date of the Deliverable as the reference point, count the number of days before or after that day that this task should be due. Think in terms of your ideal workflow. Once implemented, the exact due date of this task can be adjusted.
  • Task Steps – the step-by-step checklist that should be followed when completing the task.
  • Task Step Details – in-depth information that can be added to a step to help the end user understand the process for completing the step.

Tags – Tags are used to organize and quickly find the templates you’re looking for. Tags can be applied to both Campaign Templates and Deliverable Templates.
