How syncing works

A sync is ZenPilot Reports reading the latest data from ClickUp: new time entries, edited entries, task names, and team members. Your dashboards are only as fresh as the last sync.

On paid plans, syncing happens by itself in the background — no one has to remember anything. How often depends on your plan:

Starter Once a day
Pro Every 6 hours
Business Every 4 hours
Enterprise Every 2 hours

Click Sync now any time you want the very latest numbers — for example, right before a Monday reporting meeting. On the Free plan, manual syncs are limited to 3 per day; paid plans have no limit.

On Starter and above you can also sync a single client or project instead of the whole workspace — faster when you just need one report fresh.

Usually well under a minute. The very first sync — or a workspace with years of history — can take several minutes because ClickUp limits how fast data can be read. You can use the app normally while it runs.

Occasionally ClickUp has a hiccup and a sync fails. Nothing is lost — your existing data stays intact, and the next sync (automatic or manual) picks up where things left off. If syncing keeps failing, use the Report Issue button in the sidebar and we’ll look into it.

  • Someone tracks new time → appears on dashboards after the next sync
  • Someone edits or deletes a time entry → the reports correct themselves on the next sync
  • A new person joins the ClickUp workspace → they do not appear automatically. Add them on the People page (they’ll show up in the list of ClickUp members to add); once added, their time is included from the next sync.
