Clients
Clients are who you do the work for. Every client page answers one question: is this relationship profitable?
Creating a client
Section titled “Creating a client”Go to Clients → New client, give it a name, and — the important part — point it at the place in ClickUp where that client’s work lives: a space, a folder, or a list. From then on, any time tracked inside that location is automatically counted under this client. No tagging, no manual assignment.
Choose the location at the level that matches how you organize ClickUp:
- One space per client → map the space
- One folder per client inside a shared space → map the folder
- One list per client → map the list
Subfolders
Section titled “Subfolders”ClickUp lets you nest folders inside folders. If your space is organized as owner folders with one client subfolder inside each (for example Alex / Parisleaf), you can map a client to either level:
- Map the client’s subfolder when one subfolder is one client. This is the usual case.
- Map the parent folder when everything under it belongs to one client. A folder mapping always covers its whole subtree: every subfolder and every list beneath it counts toward the client.
The location picker shows subfolders indented under their parent, so you can see the hierarchy as you choose.
Exclusivity. A folder can only belong to one client, and so can everything inside it. Once a client owns a parent folder, another client can’t claim one of its subfolders or lists — you’ll see “already used by …” when you try. Only the owning client’s own projects can carve the folder up.
Projects under a parent-folder client can take a whole subfolder, or any single list — a direct list of the client folder or a list inside one of its subfolders (shown as Subfolder / List in the picker). Time always goes to the most specific match: a project on a list takes that list’s hours, a project on a subfolder takes the rest of that subfolder, and the client keeps everything else.
Two rules keep projects from overlapping:
- A subfolder fully used by a project makes its lists off-limits. Other projects see those lists greyed out with the owning project’s name. To free a list, edit the subfolder project.
- A list already used by a project doesn’t block the subfolder. Another project can still take the whole subfolder. The list stays with its own project, and the form shows a warning listing exactly which lists (and which projects) are excluded before you save.
If subfolders look flat in the picker, refresh the space under Settings → ClickUp locations. Folder hierarchy is read from ClickUp at refresh time.
What a client page shows
Section titled “What a client page shows”- Hours tracked for this client (billable / non-billable) in the selected date range
- Revenue, labor cost, and margin for the relationship
- The client’s projects and how each budget is burning
- Expenses logged against the client (Pro and above)
Client managers
Section titled “Client managers”You can assign a manager to a client. Users with the Manager role get management access to the clients (and projects) they’re assigned to, without seeing the rest of the agency’s finances. See Roles & what they can see.
A note on “losing money” clients
Section titled “A note on “losing money” clients”A client shows as unprofitable when the cost of the hours spent (plus expenses) exceeds the revenue from their projects in the period. It’s the first place to look when your overall margin dips — often two or three clients explain the entire gap.
