Roles & what they can see

Every member of your workspace has one role. From most to least access:

Full access to everything, including billing and deleting the workspace. The person who created the workspace. There’s always at least one.

Everything an owner can do day-to-day: manage clients, projects, rates, people, and settings. The natural role for partners and ops leads.

Management access to the specific clients and projects they’re assigned to as manager — they can run their own accounts without seeing the whole agency’s finances. For everything else, they see what a member sees.

Regular team member. Can look around the app, but financial data (rates, revenue, cost, margins) is hidden by default — they’d see hours, not dollars. Can’t change settings or manage people.

Strictly read-only. Can look, can’t touch — no edits of any kind, anywhere. Good for external stakeholders or an accountant.

Owners and admins can adjust the defaults in Security & Permissions:

  • Financial Data — decide whether managers or members see money (rates, revenue, margins) or just hours. Off for both by default.
  • Invite/remove rights — decide which roles are allowed to invite or remove admins, managers, and members.
  • Feature access — fine-tune which parts of the app each role can use.
  • Leadership only: invite partners as admins. Everyone else just tracks time in ClickUp and never logs in.
  • Account-manager model: AMs get the Manager role and are assigned their clients; they run their own book of business without seeing agency-wide profit.
